01
Scope and responsibilities
This policy covers conferences.scientia.international, its accounts and the services provided through this portal. The operator and contact channel are identified on this page. Each congress identifies its organisers, co-organisers and billing entity in its edition pages and conditions. Where another organisation determines its own purposes for processing, its privacy notice also applies.
Links to congresses hosted on other domains lead to services with their own policies. Listing an event does not automatically transfer accounts or registrations between platforms.
02
Information and its sources
We receive information provided through accounts, registrations, submissions, forms and support requests: names, email, country, institution, academic information, submitted materials and correspondence. Payment documents may require the payer's name or organisation, tax identification, email and full billing address including country.
Organisers may link existing records to committees, talks and other activities, or provide professional information about invited contributors. Profiles may include photographs, biographies, affiliations, academic identifiers and professional links. Do not provide another person's data without permission or another valid basis.
Technical operation may record IP addresses, timestamps, browsers, sessions, access events and transaction identifiers. Avoid submitting sensitive information or identity documents unless specifically requested for a stated purpose.
03
Purposes and legal bases
Accounts, registration, submissions, access to services, payment records and necessary participation communications: performance of a contract or steps requested before entering one. Tax records and legally required disclosures: compliance with legal obligations.
Security, abuse prevention, support and administration of scientific activities: legitimate interests in reliable operation, balanced against individuals' rights. Publication of contributors' professional information follows the stated purpose of the event and permission or another basis applicable to their participation.
Newsletters and optional analytics: separate, voluntary and withdrawable consent. Opening an account, paying a fee, serving on a committee or sending an enquiry does not subscribe anyone to the newsletter. Required fields support the stated purpose; without them the corresponding service may be unavailable.
04
Newsletter and email confirmation
The form collects first name, last name, email, country and your consent. Brevo provides mailing-list management and delivery. The country and territory selector displays names in English.
A confirmation email follows the request. Subscription requires that confirmation. The form does not grant consent to individual email-open tracking. Unsubscribe through the link in messages or the contact on this page; withdrawal does not affect earlier lawful processing.
The list covers news, calls, programmes and opportunities related to the scientific community. Essential registration and transaction messages serve their own purpose and do not depend on marketing consent.
05
Public profiles and programmes
Only professional information selected for publication appears in public profiles and activities. One central record may support roles in multiple committees and editions. Activities can include several contributors and roles.
Private email, tax identification, billing addresses and credentials are not included in public profiles. Public pages may be indexed by search engines and accessed beyond the portal. Contact us to request correction, updating or review of removal. Earlier editions may retain relevant historical information, subject to the applicable legal bases and rights.
06
Payments and documents
Billing information is used to process participation, identify the payer, issue documents and meet accounting obligations. Available payment methods and responsible providers are identified in the edition's payment process.
Do not submit full card numbers, security codes or passwords in profile or support forms. Access to billing documents and information is restricted to authorised users according to their roles. The issuing entity and specific conditions are those configured for the congress.
07
Cookies and similar technologies
Necessary cookies support sessions, authentication, form security and preferences. Session duration follows platform settings. The scp_consent cookie stores the optional-technology choice for up to 180 days and is not used for advertising.
When configured, the portal's Google Analytics 4 integration loads only after analytics consent. This integration uses cookies prefixed scp with a configured lifetime of up to 180 days and advertising features disabled. The preferences panel indicates whether analytics is available.
Use Cookie settings in the footer to reject, accept or change your choice. Rejecting analytics does not prevent registration or essential use. Withdrawal stops this integration and removes its analytics cookies; previously transmitted data remains subject to the provider's rules. External services opened through links have their own policies.
08
Access by providers and organisations
Authorised organisers and reviewers access the information needed for their tasks. Hosting and infrastructure providers, including Hostinger, email providers, including Brevo, and enabled payment providers may process information to deliver their respective services.
Information may also be disclosed when required by law, a competent authority or the protection of rights. Published programme and profile information is accessible to visitors. We do not sell participant databases. Disclosure to partners for their own purposes requires a specific basis and notice.
09
International processing
International participation and technology providers may involve processing outside a participant's country or the European Economic Area. Operations must follow applicable transfer mechanisms, such as adequacy decisions or appropriate contractual safeguards where required.
You may request information about relevant recipients, processing locations and safeguards through the contact on this page. Voluntarily published profiles and contributions are accessible internationally.
10
Retention and security
Accounts and operational records are retained as needed to provide services, manage participation and resolve requests. Transaction records and documents are retained for applicable legal periods; records needed to establish or defend rights may remain for the corresponding limitation periods.
Newsletter data is retained while the subscription is valid. After cancellation, a minimal suppression or consent record may be needed to prevent unwanted messages and meet obligations. Published programmes and academic materials may form part of an event's historical archive.
Retention depends on the purpose, relationship and applicable duties. When no valid grounds remain, data should be deleted or anonymised; backups follow their replacement cycle. We use access controls and technical protection measures without promising absolute security.
11
Your rights and requests
Subject to applicable law, you may request access, rectification, erasure, restriction, portability and objection, and withdraw consent. Legal limitations may apply, including mandatory document retention. This portal does not make solely automated decisions with legal or similarly significant effects.
Send requests to the email on this page and explain your relationship with the portal. We may request proportionate information to verify identity. Under the GDPR, responses are normally due within one month, with a legally permitted extension communicated and explained where necessary. Brazil's LGPD applies where its territorial criteria are met.
You may complain to the competent data protection authority, including Spain's AEPD or Brazil's ANPD as appropriate. You do not need to purchase a service to exercise rights directly with us.
12
Minors, changes and contact
The portal serves the academic community. Participation by minors depends on edition rules and, where required, authorisation and supervision by a legal representative. We do not seek newsletter consent from children without the necessary legal conditions.
This page identifies the current version. Material changes to purposes or conditions will be communicated appropriately, with fresh consent where required. For questions about this policy or congress data, use the contact below.
